Job Description:

We are sharing a specialised consulting opportunity for experienced Senior DoD Staff Writing SMEs with strong expertise in military writing, federal documentation standards, report generation, grading-rubric development, Department of Defense procedures, compliance practices, and staff-level communication to contribute to an advanced AI training and federal-reporting evaluation project.

Selected professionals will develop authentic prompts, source artifacts, reference responses, and grading criteria for Department of Defense staff-writing tasks. The work requires direct familiarity with federal and military reporting conventions, strong written judgement, and the ability to evaluate AI-generated outputs for accuracy, tone, structure, and compliance. No prior experience in AI is required.

Key Responsibilities

DoD Staff Writing & Reporting

  • Develop authentic Department of Defense staff-writing tasks
  • Produce materials involving Weekly Activity Reports (WARs), Situation Reports (SITREPs), executive summaries, and performance reports
  • Apply appropriate federal and military writing conventions
  • Maintain accurate terminology, structure, tone, and reporting style
  • Adapt outputs to operational, administrative, and leadership-facing contexts

Prompt & Reference Response Development

  • Create well-structured prompts for realistic staff-writing scenarios
  • Develop supporting input artifacts representative of federal workflows
  • Produce high-quality golden reference responses
  • Ensure reference materials demonstrate appropriate reporting standards
  • Maintain consistency between source information, task requirements, and expected outputs

Grading Rubrics & Evaluation Standards

  • Develop detailed grading guidelines for AI-generated staff-writing outputs
  • Define criteria covering accuracy, clarity, tone, structure, and compliance
  • Translate professional DoD writing standards into repeatable evaluation frameworks
  • Apply scoring criteria consistently across diverse reporting tasks
  • Refine rubrics based on project requirements and observed model performance

AI Output Evaluation

  • Review AI-generated reports, summaries, and staff-writing outputs
  • Assess adherence to Department of Defense documentation expectations
  • Identify errors in terminology, structure, emphasis, tone, or factual representation
  • Provide constructive and actionable evaluation feedback
  • Support iterative improvements to model performance and training materials

Federal Reporting Artifact Development

  • Create authentic reporting examples across weekly, monthly, and ad hoc formats
  • Develop materials reflecting real federal and military back-office workflows
  • Work with reporting structures commonly used across different operational and administrative contexts
  • Contribute realistic examples for briefing, summary, and status-reporting tasks
  • Ensure artifacts reflect professional federal-documentation practices

Documentation & Stakeholder Collaboration

  • Collaborate remotely with project leads and reviewers
  • Participate in feedback cycles to refine prompts, rubrics, and reference responses
  • Communicate reporting methodology and evaluation rationale clearly
  • Support the design and review of staff-writing test materials
  • Maintain high standards of accuracy, consistency, and professional judgement

Ideal Profile

  • At least 3 years of relevant federal or Department of Defense experience
  • Direct experience producing military or federal staff-writing materials
  • Demonstrated familiarity with WARs, SITREPs, executive summaries, performance reports, and related documentation
  • Background in one or more branches of the U.S. military is highly valuable
  • Strong understanding of Department of Defense terminology, workflows, and reporting conventions
  • Excellent written and verbal communication skills
  • Strong attention to detail and audience-appropriate language
  • Experience producing PowerPoint briefings, memoranda, Excel summaries, and related back-office documentation
  • Strong analytical ability for reviewing and evaluating written outputs
  • Familiarity with federal compliance and reporting requirements
  • Experience developing grading rubrics or structured evaluation criteria is advantageous
  • Comfortable working independently and collaboratively in a remote environment
  • No prior AI-training or model-evaluation experience is required

  • Work will involve DoD staff writing, federal reporting, prompt development, golden-reference creation, rubric authoring, and AI-output evaluation
  • Assignments may include WARs, SITREPs, executive summaries, performance reports, PowerPoint briefings, memoranda, and other federal reporting artifacts
  • Strong Department of Defense reporting experience and military-writing judgement are central to this engagement
  • Project scope, workload, report formats, and evaluation standards may evolve depending on project requirements
